How can Health Information Specialists offer this service free of charge?
Health Information Specialists charges the requestor for copies of the medical record. The cost of copying the medical records is then passed on to the insurance company or attorney in accordance with state laws.Copies of records which are sent to doctors and hospitals will always be copied on a courtesy (free) basis. H.I.S. will also provide envelopes and postage for both billable and non-billable requests.

Clinics and Doctors Offices:

We will tailor our services to fit your needs. Our experienced Health Information Specialists representative will service your facility once or twice weekly depending on the volume of medical records requests. Our H.I.S.representative will service your facility on the day or days that you choose. They will arrive with a scanner, laptop computer and supplies and set up in an area of your office; usually an unused exam room, office or break room or wherever you can fit us. Our H.I.S. representative will then verify that the medical records that have been pulled have the correct patient authorization as required by federal and state law and HIPAA guidelines. The information being requested is then identified and copied.

Once all of the charts have been processed, your H.I.S. representative will then log the requests in a log book kept at your facility, we will also have a copy. The logging system will assist you if you receive calls from requestors. H.I.S. will also deal directly with insurance companies or attorney's offices and will assist them with any questions that they may have. Once printed, the records will then be sent out within 24-48 hours. It is our goal at H.I.S. to make this process as painless and hassle free as possible.
